Rental Terms and Conditions for Birthday Parties at the Magical Cafe
Welcome to the Magical Cafe! We’re excited to help you host a memorable birthday party. To ensure a smooth experience, please review our rental terms and conditions below.
1. Booking and Deposit
A 200 CHF non-refundable deposit is required to secure your booking. Your reservation is confirmed once the deposit is paid. The deposit will be applied to your final bill.
2. Payment of Final Balance
The remaining balance, including any add-ons, is due at the end of the party. We’ll provide an itemized bill so you can review it before leaving.
3. Additional Time
If your party exceeds the scheduled time by more than 15 minutes, a fee of 50 CHF per additional half-hour will apply (not prorated). All guests must leave within 15 minutes of the party’s end to avoid extra charges.
4. Play Area Rules
To ensure everyone’s safety, please follow these rules:
- No food or drinks in the play structure.
- Socks are required in the play area (no shoes or bare feet).
- No climbing on furniture or tables.
- No throwing items, hitting, biting, or hurting others.
5. Add-Ons
- Add-ons must be arranged at least 10 days before the party.
- Any changes after this deadline require approval but are not guaranteed.
- The Magical Cafe may make reasonable substitutions if needed.
- Prices may change due to market conditions beyond our control.
6. Entertainment
- We’ll confirm entertainer availability within 7 working days of booking.
- If your preferred entertainer is unavailable, you can choose a different one or reschedule.
- If no suitable entertainer is available, you may cancel and receive a refund.
7. Food and Drinks
- You can bring a homemade birthday cake and a finger food buffet. No professionally made cakes, please.
- We offer catering options if requested 7 days in advance.
- No outside beverages are allowed except for Prosecco (corkage fee applies: 15 CHF per 75cl, 30 CHF per 1.5L).
- We offer a tab system for drinks — please specify whether you’d like to cover all drinks, just the first drink per guest, or have guests pay individually.
8. Decorations and Party Items
- Decorations provided by the Magical Café remain our property, except for individual balloons given to children when they leave the party.
- Additional decorations must be pre-approved. Only clear tape may be used on glass surfaces.
- Confetti, messy items, party piñatas, and certain candles are not allowed.
- External materials or installations require prior permission.
9. Damages and Cleaning
- Any damage or extra cleaning costs caused during your event will be billed to you.
- Please ensure all waste is disposed of in the correct bins.
10. Personal Belongings
The Magical Cafe is not responsible for lost, stolen, or damaged personal items.
11. Safety and Conduct
- Parents are responsible for supervising their children.
- We may ask disruptive guests to leave.
12. Cancellations
- Deposits are refundable (minus a 30 CHF fee) if you cancel at least 30 days before your event.
- Last minute cancellations (72 hours or less) require full payment to be made.
- If the party is canceled by the Magical Cafe due to unforeseen circumstances, you can reschedule or receive a full refund.
13. Legal Considerations
- This agreement is governed by Swiss law.
- Disputes will be resolved through arbitration in Switzerland.
- Neither party is liable for cancellations due to unforeseen events like extreme weather or emergencies.
By booking a party at the Magical Cafe, you agree to abide by these terms and conditions.
